License Governance

Track SaaS license assignments, detect inactive or over-assigned licenses, and reclaim unused seats.

Last updated: June 2026

Who this is for

IT admins, finance teams, and compliance officers responsible for managing SaaS software licenses, controlling spend, and ensuring license assignments match policy.

Before you start

A Microsoft 365, Google Workspace, or other SaaS connector must be configured and at least one evaluation must have run. SeeConnectors to set up your first integration.

What license governance covers

License governance in Nuxari continuously compares your license assignments against actual usage. When a user holds a license they are not using, has left the organization, or is assigned a tier they do not need, Nuxari surfaces a finding so your team can reclaim the seat or adjust the assignment, with a full audit trail of every change.

What Nuxari checks

  • ·Unused licenses: A license is assigned to a user who has not signed in or used the application within a configurable inactivity window.
  • ·Inactive users with licenses: A user account is disabled or offboarded in your identity provider but the SaaS license is still assigned.
  • ·Duplicate or overlapping licenses: A user holds licenses for multiple tiers of the same product when a single license would suffice.
  • ·Premium license without usage: A premium-tier license is assigned to a user whose activity patterns indicate only basic-tier usage.
  • ·Missing department or owner: A license is assigned but no department or responsible owner is recorded, making it difficult to attribute cost or justify renewal.
  • ·Renewal risk: A large block of licenses is approaching renewal date with significant unused capacity that may not need renewing.

How to review license findings

  1. 1In Nuxari, go to Governance > Findings and filter by type: License.
  2. 2Each finding shows the user, the license type, the last activity date, the connected system, and the recommended action.
  3. 3Click a finding to see the full detail including the usage data that triggered the finding.
  4. 4Decide whether to reclaim the license, reassign it, or accept the current assignment as intentional.

How to reclaim a license

  1. 1From the finding detail, click Create Remediation Plan.
  2. 2The proposed action will be to remove or downgrade the license assignment.
  3. 3Assign an approver, high-impact license changes require authorization before execution.
  4. 4After approval, Nuxari removes the license assignment from the connected system and records an audit event.
  5. 5The finding is re-evaluated in the next evaluation cycle to confirm the change was applied.
Use the License Governance Pack to run evaluations on a scheduled cycle so your team always has a current view of license waste before renewal negotiations.
