Offboarding
Learn how to offboard a user from connected systems using Nuxari.
Last updated: June 2026
Who this is for
Admins and HR operations teams responsible for revoking access when an employee or contractor leaves.
Before you start
Connectors must be configured for the systems you want to include in offboarding. An approver must be available to authorize the offboarding plan before execution.
Overview
Nuxari's offboarding workflow systematically removes a departing user's access across all connected systems. Each step is logged, approval-gated, and evidence-backed. The workflow ensures that access is not left active after departure, and provides an audit record showing exactly when and where access was removed.
How to offboard a user
- 1
Start the offboarding workflow
In Nuxari, go to Workflows > Offboarding. Click New Offboarding. Search for the user by name or email and select them.
- 2
Set the departure date and time
Enter the user's last active date. If they are departing in the future, you can schedule the offboarding to execute at a specific date and time, for example, their last day at 5:00 PM.
- 3
Review the connected systems checklist
Nuxari displays all connected systems where the user currently has access. Review the checklist. Each system is included by default, deselect any system you want to handle separately.
- 4
Submit for approval
Select an approver and click Submit. The approver receives a notification with the offboarding plan details and a link to authorize or reject it.
- 5
Approver authorizes the plan
The approver reviews the plan and confirms. No access is revoked until this step is complete. The authorization is recorded in the audit log.
- 6
Execution
At the scheduled time (or immediately if no future date was set), Nuxari begins revoking access in each connected system, disabling accounts, removing group memberships, revoking licenses, and closing active sessions where supported.
- 7
Validation
After execution, Nuxari verifies that access has been removed in each system. Systems that confirm removal are marked complete. Any system that could not be confirmed is flagged for manual review.
- 8
Report and evidence
A completion summary is generated showing the status of each system: completed, failed, or pending. The full workflow, approval, execution, and validation, is bundled into an evidence record.
Scheduled offboarding
When you set a future date and time, Nuxari creates a scheduled job. You will receive a reminder before the scheduled execution. The approval must be completed before the scheduled time for the job to run, if it is still pending, Nuxari sends a follow-up notification to the approver.
