Learn how to submit, approve, and track employee onboarding workflows in Nuxari.

Who this is for
HR teams, IT admins, and managers submitting onboarding requests for new employees. Approvers who authorize onboarding actions before provisioning begins.
Before you start
At least one identity provider connector must be configured so Nuxari can provision accounts. You need at minimum the Requester role to submit an onboarding request.
What onboarding does in Nuxari
The onboarding workflow in Nuxari captures the information needed to provision a new employee across your connected systems, routes the request through your approval chain, and executes provisioning only after authorization is complete. Every step, request, approval, provisioning action, and confirmation, is recorded as an audit event so you have a complete evidence trail for each new hire.
How to submit an onboarding request
- 1In Nuxari, go to Workflows > Onboarding.
- 2Click New Onboarding Request.
- 3Enter the employee's name, work email, department, job role, and start date.
- 4Select the systems the new employee needs access to. Nuxari maps these to your configured connectors.
- 5Specify the access level required for each system. For most roles this is pre-filled from a template, review and adjust as needed.
- 6Add a business justification and select the approver or approval chain.
- 7Submit the request. The assigned approver is notified immediately.
The approval step
The assigned approver receives a notification with a summary of the onboarding request. They review the requested systems and access levels, then either approve or reject the request. No accounts are created and no access is provisioned until approval is complete. SeeApprovals for the full reviewer workflow.
What happens after approval
- 1Nuxari sends provisioning actions to the connected systems in sequence.
- 2For each system, an account is created or access is assigned as specified in the approved request.
- 3Nuxari captures a snapshot of the provisioned state for each system.
- 4An audit event is recorded per system with the action type, result, and approval reference.
- 5The requester is notified that onboarding is complete, with a summary of what was provisioned.
How to track onboarding status
In Nuxari, go to Workflows > Onboarding. Each request shows its current status:
- ·Submitted, waiting for approver review.
- ·Pending Approval, the approver has been notified.
- ·Approved, authorization complete, provisioning has begun.
- ·Completed, all systems have been provisioned and evidence captured.
- ·Failed, one or more provisioning steps encountered an error. See the request detail for which systems need attention.
- ·Rejected, the approver declined the request.
